Real Estate Brokers

We take CRM upkeep, social media marketing, ads and follow-up automations off the plate of brokers who also sell, manage and often run a second line of business.

A virtual assistant for a real estate broker takes on the recurring operations that get squeezed when you are also an agent and, often, a second business owner: keeping CRM records current, running social media and ads, and maintaining the automations that follow up with people. We do that for brokers, and we keep a clear line between support work and licensed work.

The broker’s real problem

A broker who also sells has two calendars. Clients and closings come first, and the marketing and the database come second. Add a mortgage line and there is a third set of contacts, a third audience and another reason to post. Nothing in that stack is hard. It is simply never urgent until a lead goes cold or a database has gone stale.

That is where a dedicated, trained team member helps. The work is repeatable, the systems already exist, and it only needs someone assigned to it.

The cost shows up in small ways. A new lead sits in the CRM for a day. A post goes up on Tuesday and nothing again until the following month. An automation that was set up two years ago keeps sending messages that no longer match the business. Each one is minor, and together they decide whether the brand looks active.

What we handle for brokers

  • CRM records. Contacts cleaned, tagged and kept consistent, whether the platform is Lone Wolf, BoldTrail, Lofty or GoHighLevel.
  • Social media marketing. Content planned and posted so the brand stays visible.
  • Ads. Meta lead ads built and run, with leads sent into the CRM. See our Facebook ads management service.
  • Automations and workflows. Follow-up that starts when a lead arrives and continues on a schedule or behavior.
  • Daily lead follow-up. First contact and logging, with real conversations handed to you.

What this looked like for a broker client

Griselda Espinoza owns Terranova Realty. She is a broker and a real estate agent, and she also does mortgage. Her CRM is Lone Wolf. We manage her CRM records, do social media marketing and ads for her, and run automations and workflows.

We do not provide mortgage services to her or to anyone else. What we support is the marketing and CRM operation around her business. We have no results or numbers to publish for this engagement, and we will not guess at any. The case page has the same facts, and the Lone Wolf CRM virtual assistant page explains what we can and cannot do inside that platform.

A note on mortgage-related ads

Meta applies special ad category rules to housing and credit-related advertising, and the targeting limits are real. Which category fits a mortgage-related ad is a point where Meta’s own developer documentation is silent and third-party sources disagree. So we do not assert one. Confirm the category in Ads Manager and in Meta’s Business Help Center, and ask your compliance contact if you have one. Mislabeling can get ads paused.

How it works in practice

  1. Free consult. We learn how your business splits across selling, brokering and any other line, and what keeps slipping.
  2. Systems review. We look at your CRM, your social accounts and your current follow-up.
  3. Handoff rules. We agree what we handle, what you approve and what comes straight to you.
  4. Run and report. Regular upkeep and a short summary of what changed.

You approve messaging before it goes out, and we give access in the way your systems allow. Our workflow notes for this setup are in the broker, agent and mortgage workflow post.

Who this is for

  • Brokers who also sell and whose CRM and marketing get done in leftover hours.
  • Brokers with a second line of business, such as mortgage, who want the marketing and records side supported.
  • Owners who want automations running without being the one to maintain them.

Who it is not for

  • Anyone seeking a virtual assistant to originate loans, give pricing advice or negotiate. That is licensed work.
  • Brokerages looking for trust accounting or compliance oversight, which we do not provide.
  • Anyone expecting guaranteed leads or closings.

If you run a larger group of agents, see our page for real estate teams, and for how follow-up gets built, see CRM automation. Book a free consult and we will scope it with you.

FAQ

Frequently asked questions

Yes. The usual pressure is that the broker's own marketing and CRM upkeep lose to client work. A VA can keep records current, post content, run ads and maintain follow-up workflows so they continue while you are busy.

No. We support the marketing and CRM operations of brokers whose business includes mortgage. Loan origination, advice and anything that needs a license stay with you.

Yes. A current broker client uses Lone Wolf, and we manage her CRM records and automations. See our Lone Wolf CRM virtual assistant page for what the platform lets an outside team do.

We do not state this definitively. Meta's developer documentation does not define it and third-party sources disagree. Confirm in Ads Manager and Meta's Business Help Center before launching.

Pricing depends on scope: CRM size, how much social and ad work, and how many automations. A free consult gives you a clear number.
