Real Estate CRM Automation

We design, build and maintain the workflows and integrations that move leads through your CRM, using native automations plus Zapier, Make and API Nation where they help.

Real estate CRM automation means setting up your CRM and connected tools so repeatable follow-up happens on its own: new leads are acknowledged, assigned and logged, reminders go out, and nurture messages keep running until someone replies. As a real estate CRM automation virtual assistant team, we build those workflows, connect your tools, and keep them working.

The aim is not to remove people from the process. It is to remove the manual copying, forgetting and chasing that sit between a lead arriving and a person speaking to them.

What we actually build

  • Speed-to-lead workflows: an immediate text or email when a new lead comes in, a task for the right person, and a stop when they respond.
  • Nurture sequences: long-term messages segmented by lead type, built as smart plans, action plans, workflows or campaigns depending on your CRM.
  • Appointment reminders and confirmations.
  • Pipeline automations: stage changes that trigger tasks, alerts or messages, so the pipeline reflects reality.
  • Past-client and referral workflows: scheduled check-ins that keep your sphere warm.
  • Lead routing rules: sending leads by source, area or team member.
  • Integrations: connecting your CRM to lead forms, spreadsheets, ad platforms, email tools and transaction software.

Zapier, Make and API Nation

Your CRM can often do a lot by itself. Sometimes it cannot reach the other tools you use. That is where Zapier, Make and API Nation come in. Each connects apps so that something happening in one triggers an action in another: a form submission creates a contact with the right tags, a new lead is added to a tracking sheet, or a status change in one system updates another.

We pick the tool that fits the job. Native automations are usually more reliable and cheaper to run, so we use them first. We reach for an integration platform when there is a real gap, and we document every connection so you know what depends on what.

How it works in practice

  1. Map the current process. We trace what happens to a lead from the moment it arrives, and where it stalls.
  2. Design on paper first. Triggers, conditions, messages, owners and stop rules, written down for your approval.
  3. Build and test. We enroll test contacts and read every message in order, and check that tasks and tags land correctly.
  4. Fix the foundations. Sending-domain records (SPF, DKIM, DMARC) and, for texting, carrier registration, so messages are delivered.
  5. Launch and maintain. We monitor results and adjust as your market, offers and CRM change.

Marketing texts require documented consent, and opt-outs must be honored. This is general information, not legal advice, so check your obligations with your broker or counsel.

What this looked like for clients

For the NOW Team in Orange County and Lake Elsinore, GoHighLevel had been used as a database and not a pipeline. We rebuilt it around real pipeline stages and automations. Emails sent from GoHighLevel’s shared domain were landing in spam, so we worked on a dedicated sending domain with SPF, DKIM and DMARC. We also put together a nurture automation plan covering speed-to-lead, long-term nurture, appointment reminders, and past-client and referral workflows. See the NOW Team case study.

For Tammy Theis in Augusta, Georgia, we built a 30-email nurture sequence around Lofty smart plans, so follow-up triggers from what a lead does, such as opening, clicking or replying, instead of a fixed calendar. Read her case study for the details. We do not have a public case study for a Zapier, Make or API Nation integration project, so we will not pretend one. We are glad to talk through your specific tools in a consult.

Who this is for, and who it is not

It suits agents and teams with a CRM that is already in place, and a process that depends on someone remembering to do things. It also suits teams whose tools do not talk to each other.

It is not a good fit if you have no follow-up process to automate yet, or if you hope automation will replace conversations. Automating a weak process just makes it weak faster. In that case we would start with the process itself, which we cover in our guide to automating lead follow-up.

If this sounds right, start with a free consult and we will scope it. Our broader real estate CRM virtual assistant service covers the day-to-day management that keeps automations fed with clean data.

FAQ

Frequently asked questions

Native automations, like smart plans or workflows, run inside your CRM. Zapier, Make and API Nation connect your CRM to other tools, such as forms, spreadsheets or transaction software. We use whichever is simpler and more reliable for the job.

No. Automation handles the repeatable parts, such as the first response, reminders and nurture. A person still needs to answer replies and have the conversations.

We build in BoldTrail, Lofty and GoHighLevel, and connect them to other tools through Zapier, Make and API Nation. Tell us what you use and we will say whether it is a fit.

It depends on how many workflows you need and how many tools are involved. We do not publish prices. A free consult gives you a clear number.

We monitor and maintain what we build, and we document each workflow so you can see what it does. If an integration fails, we find the cause and fix it.
