A BoldTrail virtual assistant is a trained team member who works inside your BoldTrail CRM to keep it organized and active. We clean the database, build the tag structure, run Smart Campaigns, bring in leads from your ads, follow up and report back, so your CRM is a working system and not a contact list.

BoldTrail is the platform formerly known as kvCORE. Inside Real Estate rebranded it in 2024. It is a capable system, and most of the agents we meet are using only part of it.

What we do inside BoldTrail

Area What we do
Database cleanup Duplicates merged, bad emails and phone numbers flagged, records made consistent
Tagging and segmentation A tag structure built around relationship type, lead source and recency, so you can find the right people quickly
Smart Campaigns Drip sequences built and assigned to the right segments, then reviewed on a schedule
Lead follow-up Daily contact with new and warm leads, with notes logged in the CRM
Branded email Templates for seller and buyer campaigns that work inside BoldTrail
Lead-source checks Making sure forms, landing pages and ad leads reach the CRM and get tagged
Deliverability SPF, DKIM and DMARC on your sending domain so your emails reach inboxes
Weekly reporting What came in, who was contacted, and who is waiting on you

Facebook seller leads straight into BoldTrail

The step that most often fails is the one between the ad and the CRM. A seller fills in a form, and then a person has to notice, copy it over and start a message. By then the lead has cooled.

For the Faruqi Team, we built an automation so that whenever we run Facebook ads for Ambreen Faruqi, the seller leads are imported directly into BoldTrail. BoldTrail then starts the email campaign, the workflow and the follow-ups automatically. On one run of the ad, we saw 5 seller leads in 1 day at about $8 per lead. That is a separate run from the earlier 5 leads in 2 days at $15 per lead that we published on the case study, and we treat neither as a benchmark. The full walk-through is in Facebook seller leads into BoldTrail.

BoldTrail’s own help center documents several ways in. They behave differently, so we pick one per client and test it.

Route What it is Watch for
Smart Social Leads BoldTrail’s paid add-on, where the ads are run by BoldTrail For ads BoldTrail runs, not your own
Zapier Create Contact Pushes leads in using a key from Lead Dropbox The key level decides rotation; set a custom lead source or it shows as Manual; zaps are not retroactive
Lead Dropbox email Forwards third-party lead emails in Test with a real lead email before relying on it
API Nation sync Third-party sync from Facebook lead forms Map a field to a note with a hashtag to start campaigns

One rule matters more than the route. Tag each lead on the way in with a hashtag, because Smart Campaigns can start on a hashtag. According to BoldTrail’s help center, standard triggers include Lead is New, Contact is Transferred, Hashtag is and Specific Date Occurs. A contact runs one campaign at a time, campaign texts are limited to one per lead per day, and messages send only in office hours. So a lead who arrives at midnight hears from you when office hours open, not before. We plan the first touch around that. See also Smart Campaigns for seller leads.

How it works in practice

  1. Free consult. We learn how your team works, where leads come from and what is not getting done.
  2. Audit. We review your database, tags, campaigns, lead sources and email setup, then share what we found.
  3. Clean and structure. We fix the foundation first. Automating a messy database only sends the wrong message to more people.
  4. Build. Campaigns, templates and capture checks sit on top of the clean structure.
  5. Run. We handle daily follow-up and send a weekly summary, with periodic campaign reviews.

What this looked like for the Faruqi Team

The Faruqi Team, led by Ambreen Faruqi at eXp Realty NY, has a 14,000-contact BoldTrail database. When we started, it was not being activated and the CRM was half set up.

We rebuilt the tagging structure from scratch and segmented the contacts by relationship type and recency. We then ran two channels. One was a B2B referral channel: a two-touch podcast outreach sequence (Day 1 and Day 3) aimed at title companies and estate attorneys, who are strong referral sources for probate and inherited property. The other was a B2C paid channel, with Meta lead-gen ads running under Special Ad Category compliance and feeding the rebuilt CRM.

We also built a branded seller-lead email system in navy and gold, compatible with BoldTrail, and fixed email deliverability on their domain. One ad push produced 5 leads in 2 days at a $15 cost per lead. The work continues, including daily lead follow-up. The full story is on the Faruqi Team case study.

That is one client, and we do not promise those numbers for anyone else. It does show the order we work in: structure first, then channels, then follow-up. If you run ads, our Facebook ads management service covers that side.

What we ask from you

We need admin or delegated access to your BoldTrail account, a quick walkthrough of how you talk to leads, and your rules for hand-offs. That means which leads you want to call personally and which a VA can warm up first. You approve the messaging before it goes out, and you see a weekly summary. Beyond that, you should not have to think about the CRM, which is the point.

We also tell you when something in the account is not worth keeping. Unused campaigns and old tags get retired, not left to confuse the next person.

Who this is for

  • Agents and teams on BoldTrail or kvCORE with a database that is sitting unused.
  • Teams whose CRM was started but never finished.
  • Agents running Facebook seller or buyer ads whose leads are copied in by hand.
  • Agents who lose leads because follow-up depends on free time.
  • Brokerages where each agent has a different tagging habit.

Who it is not for

If you want someone to run your listing appointments or negotiate offers, a VA is the wrong role. A VA is not a licensed agent, and rules on what unlicensed assistants may do vary by state. It also is not a fit if you do not plan to answer a lead once it is warmed up and handed over. The system works when a human picks up at the right moment.

Yes, at a permission level you set. The account stays yours, and we work inside it as part of your team.

A VA can handle first contact, follow-up and logging for new and warm leads. Anything that needs a licensed agent, such as negotiation or pricing advice, stays with you or your licensed team.

Yes. We built an automation for the Faruqi Team so seller leads from our Facebook ads are imported directly into BoldTrail, which then starts the email campaign, workflow and follow-ups. The connection route depends on the setup, and BoldTrail documents Zapier and Lead Dropbox as generic routes.

They cannot do licensed work such as negotiating or giving pricing advice, and they cannot make a campaign fire at hours BoldTrail does not allow. According to BoldTrail's help center, Smart Campaign messages send only in office hours.

Pricing depends on scope, such as database size and how much follow-up you want handled. A free consult gives you a clear number. Your BoldTrail subscription is separate and set by Inside Real Estate.

Yes. We do not move you to another system. We work in your account with the access you grant and keep notes in the CRM so your team can see what was done.

No. Results depend on your market, lead sources and follow-through. We can show what we did for a client and tell you plainly what we think is realistic.
