Lone Wolf CRM Virtual Assistant

We work inside your Lone Wolf CRM to clean contact records, keep the pipeline honest, run automations and workflows, and get new leads in, and we tell you plainly where the platform limits an outside team.

A Lone Wolf CRM virtual assistant is a trained remote team member who works inside your Lone Wolf Relationships or Front Office account. We clean up contact records, tag and segment, keep pipeline stages accurate, maintain templates, run automations and workflows, and get new leads into the system.

We do this work for a client today, a broker and agent whose CRM is Lone Wolf. We also say up front what the platform does and does not let an outside team do, because that decides what is worth building.

What Lone Wolf is, and the products people confuse it with

Lone Wolf Technologies is a real estate software company that, according to its About page, was founded in 1989 and started in back office accounting. It now sells a long list of products, so “we use Lone Wolf” can mean very different things.

Product What it is Where a CRM VA fits
Relationships Lone Wolf’s CRM for contacts, pipeline and follow-up, announced in March 2025 Core of our work
Front Office Website, IDX, lead capture, CRM and drip email for growing agents and small teams Core of our work
Propertybase Salesforce Edition Enterprise tier built on Salesforce Scope separately
Transactions (zipForm, TransactionDesk) Forms and transaction management, often provided through a local association Transaction coordination, not CRM
Back Office, Cloud CMA, Boost Brokerage accounting, CMA reports, digital ads Outside CRM work
LionDesk The former Lone Wolf CRM, being wound down Migration support

The practical point: an agent who has zipForm through their association may never have touched Lone Wolf’s CRM. Before we scope anything, we confirm which product you actually log into. Product names and packaging change, so treat this table as of October 2026 and check Lone Wolf’s own pages.

What we do in Lone Wolf

  • Contact records and cleanup. Duplicates merged, missing emails and phone numbers flagged, lead sources labeled, notes made usable.
  • Tagging and segmentation. A consistent structure by relationship type, lead source and recency, so you can find people and automations can target them.
  • Pipeline hygiene. Custom pipeline stages kept accurate, and stale deals moved or closed out.
  • Templates. Email and text templates in your voice, kept in one place.
  • Automations and workflows. Lone Wolf describes behavior-based email and text automations in Relationships. We build and maintain the ones that fit how you follow up.
  • Lead intake. Getting leads from your forms and ads into the CRM, including through Zapier’s Create Contact action.
  • LionDesk migration support. Cleanup before the move and checks after it.

Where the platform limits us

We would rather you hear this from us than find it after a build.

  • Zapier is one-way. According to Zapier’s app page, the Lone Wolf Relationships app has a single action, Create Contact, with fields for first name (required), last name, email, cell phone and lead source. It has no triggers, no search and no update or delete. Leads can be pushed in, but Zapier cannot react to events inside Relationships or update an existing contact. Tags and notes are not among the documented fields.
  • No verified public Relationships API. Lone Wolf launched an API portal in February 2026, according to HousingWire, and it lists ten APIs. We found none named for Relationships or Front Office. So we do not promise custom integrations that read data out of the CRM.
  • Lead-source connectors need a live check. Lone Wolf names Zillow and Realtor.com as lead sources, but we confirm setup in your account before promising it.

How it works in practice

  1. Free consult. We learn which Lone Wolf product you use, where leads come from and what is slipping.
  2. Account review. We look at contacts, tags, pipeline, templates and automations, then tell you what to fix first.
  3. Clean first. Automating a messy database sends the wrong message to more people.
  4. Build and connect. Automations, templates and lead intake on top of the clean structure.
  5. Run and report. Ongoing upkeep, with a regular summary of what changed.

Moving off LionDesk

Inman reported in May 2025 that Lone Wolf was winding down LionDesk and moving customers to Relationships. Lone Wolf’s blog says current LionDesk users can migrate contacts directly by logging into LionDesk and connecting a Lone Wolf account. Migration moves the data, not your judgment about it. We clean duplicates and tags first, then check what arrived, including templates and automations, rather than assuming everything came across. Our walkthrough is in LionDesk to Lone Wolf Relationships migration.

What this looked like for a client

Griselda Espinoza owns Terranova Realty. She is a broker and a real estate agent, and she also does mortgage. Her CRM is Lone Wolf. We manage her CRM records, do social media marketing and ads for her, and run automations and workflows. We do not provide mortgage services; we support her marketing and CRM operations. We have no results or numbers to publish for this work, and we would not invent any. More is on the Griselda Espinoza case page, and the wider picture for her kind of business is on our real estate brokers page.

Who this is for

  • Brokers and agents on Lone Wolf Relationships or Front Office with records that have drifted.
  • Former LionDesk users who moved their contacts and have not finished the cleanup.
  • Anyone feeding leads from ads or forms into Lone Wolf by hand.

Who it is not for

  • Teams that need custom software built on a Lone Wolf API. We have not verified a public one for the CRM.
  • Anyone expecting guaranteed leads or closings.
  • Agents who want a VA to handle licensed work such as pricing advice or negotiation.

FAQ

Frequently asked questions

Lone Wolf Technologies is a real estate software company with many products. Its CRM products are Relationships and Front Office, and Lone Wolf's CRM page also lists a Propertybase Salesforce Edition for enterprise use. Transactions, Back Office and Cloud CMA are separate products.

Yes, for the day-to-day work: contact records, tags, pipeline stages, templates, automations and lead intake. Anything that needs a licensed agent, such as pricing advice or negotiation, stays with you.

Zapier lists a Lone Wolf Relationships app with a Create Contact action, which can push new leads in. As of October 2026 it has no triggers and no update action, so it cannot react to changes inside Relationships.

Lone Wolf says current LionDesk users can migrate contacts by logging into LionDesk and connecting a Lone Wolf account. We help with the cleanup before the move and the checks after it.

That is transaction coordination, a separate service from CRM management. Our transaction work covers dotloop, SkySlope and zipForm.

Pricing depends on scope: database size, how many automations, and whether you want lead intake and daily upkeep. A free consult gives you a clear number. Lone Wolf does not publish its own CRM prices on the pages we reviewed, so ask Lone Wolf for those.
