A GoHighLevel real estate virtual assistant sets up and runs GoHighLevel the way a real estate business actually sells: leads move through pipeline stages, automations respond fast, emails reach the inbox and someone follows up every day. GoHighLevel is a flexible toolkit, and it only works as well as the build behind it.
AssistantStead is a virtual assistant company for US real estate agents, teams and brokerages. Our delivery team works remotely, and GoHighLevel is one of the CRMs we manage for clients.
What we do in GoHighLevel
- Pipeline design. We map real stages from new lead to closed, so GoHighLevel works as a pipeline and not just a database.
- Workflows and automations. Speed-to-lead, long-term nurture, appointment reminders, and past-client and referral workflows.
- Lead source funnels. For example, a for-sale-by-owner funnel fed by a primary data source with a fallback.
- Lead imports. Facebook lead forms and ReferralExchange routed into the right pipeline stage.
- Segmented email. Market-update emails by farm area, not one generic blast.
- Sending domain setup. A dedicated domain with SPF, DKIM and DMARC so emails stop landing in spam.
- Texting setup. Help with A2P 10DLC registration, which carriers expect for business texting.
- Daily lead follow-up and campaign management. Including writing the emails.
- Marketing. Paid social ads and organic posting when you want them included.
A pipeline, not a database
The most common GoHighLevel problem we see is an account used as a contact list. Everyone sits in one place, tags pile up, and nobody can say who needs a call today. A pipeline answers that question by design.
| Used as a database | Built as a pipeline | |
|---|---|---|
| Where a new lead goes | Into a list | Into a named stage |
| What happens next | Someone remembers | A workflow starts |
| Who is waiting on you | Hard to see | Visible by stage |
| Stalled leads | Go quiet | Flagged by time in stage |
| Reporting | Counts of contacts | Movement between stages |
For a plain-language walk through stages, workflows and setup order, read GoHighLevel for real estate agents: setup guide. For a team-level view, see GoHighLevel for real estate teams.
The same logic applies to your lead sources. A pipeline only helps if every source, whether Facebook, ReferralExchange or an FSBO data provider, feeds a defined first stage with a defined first action. We map each source to a stage and a message before building anything, so you can see on one screen which sources are producing conversations and which are producing names.
How it works in practice
- Free consult. We learn how you sell, what you use GoHighLevel for today and where it falls short.
- Audit. We check pipeline, workflows, tags, sending setup and lead sources.
- Sending foundation. Domain authentication comes first, before large email sends.
- Build. Pipeline stages, automations and funnels, in the order that matters most for your business.
- Run and review. We handle follow-up and campaigns, and check in with you on what moved and what is stuck.
We start with the sending domain because a polished campaign does nothing if it lands in spam. A third-party deliverability guide from Suped lists the usual culprits: shared tracking domains, mismatched From and signing domains, missing authentication records, and volume spikes without warmup. Fixing those first saves weeks of guessing later. Our walkthrough is in why GoHighLevel emails go to spam.
What it looked like for a real client
The NOW Team, tied to Hit Home Realty and led by Kacper Turek, works in Orange County and Lake Elsinore, California, running property management and real estate. GoHighLevel was being used as a database, not a pipeline. We:
- Rebuilt it around real pipeline stages and automations.
- Built a dual-source FSBO acquisition funnel, with Landvoice as the primary source and Vulcan7 as the fallback.
- Wrote market-update emails for each farm area: Rancho Santa Margarita, Trabuco Canyon, Lake Forest, Mission Viejo and Coto de Caza.
- Worked on a dedicated sending domain with SPF, DKIM and DMARC, because emails on GoHighLevel’s shared domain were landing in spam.
- Planned nurture automation covering speed-to-lead, long-term nurture, appointment reminders and past-client and referral workflows.
- Run paid social ads, organic posting, ongoing lead follow-up and email campaign management.
- Set up automation so ReferralExchange leads flow into his GoHighLevel and start the email campaign, workflow and follow-ups.

ReferralExchange leads into GoHighLevel
GoHighLevel has no documented native ReferralExchange integration that we could find. The usual way to do it is this: ReferralExchange sends a notification email, a parser extracts the lead details, and Zapier, Make or a webhook posts them into GoHighLevel. That is the common pattern, not a description of every build. HighLevel’s help documentation says its Inbound Webhook trigger needs an email or phone number to find or create a contact, and that it is billed as a premium trigger, so usage is worth watching. Whatever the route, the goal is the same: the lead lands in the right stage and the first message goes out without anyone touching it. The longer version is in ReferralExchange leads into GoHighLevel.
Facebook leads and compliance
HighLevel documents a Facebook integration and a workflow trigger for Facebook lead form submissions that fires in real time and can be filtered by Page and form. The common failure point is permissions, such as a lapsed Page admin or an expired connection. Two other areas catch teams out. First, texting: according to a third-party guide from GHL Experts, A2P 10DLC registration typically needs your legal business name, EIN, a campaign use case, sample messages with opt-out language and proof of opt-in, and review can take several business days or longer. Second, calling: cold-calling FSBO or expired owners means checking numbers against the National Do Not Call Registry. This is general information, not legal advice, so confirm the rules with your broker or attorney.
Who this is for
- Teams and agents who pay for GoHighLevel but use it as a contact list.
- Teams working FSBO leads who want a repeatable intake funnel.
- Anyone whose GoHighLevel emails are landing in spam.
- Teams pulling in ReferralExchange or Facebook leads who want them worked immediately.
- Property managers and agents who want one account for both lines of business.
Who it is not for
- Agents who want a ready-made real estate CRM with minimal setup. A platform built for agents may fit better, and we work in several, including Lofty and BoldTrail.
- Anyone expecting guaranteed lead volume or closings.
- Agents hoping to hand off licensed work such as negotiation or pricing advice.
