AssistantStead provides remote virtual assistant support that UK estate agents and lettings agents can use for CRM and database upkeep, lead follow-up, progression admin, social media and websites. To be direct, our published case studies are all US-based, and we do not yet have a UK client case study.
What can UK estate agents and lettings agents hand off?
These are the areas where our service list overlaps with day-to-day agency work. Scope for a UK branch is agreed with you, not assumed.
- CRM and database. Cleaning records, tagging, segmenting and keeping the system current. If you are choosing a system, see our guide to CRMs for UK estate agents.
- Lead and valuation-request follow-up. Responding to new enquiries, booking valuations and keeping past enquiries warm.
- Sales progression admin. Chasing updates, tracking documents and keeping clients and solicitors informed. See sales progression with a virtual assistant.
- Social media and ads. Content, scheduling and paid campaigns, covered in our post on estate agent social media marketing.
- Listings admin. Preparing and updating listing details for your portals and website, in the formats your branch already uses.
- Websites. Building and maintaining WordPress sites that capture valuation and viewing requests.
- Lettings support. Tenant and landlord communication admin and marketing, outlined in our lettings virtual assistant post.
What is our honest scope for UK work?
Our case studies, such as the Faruqi Team and Susanna Castro, are US clients using US systems. We have no UK client, UK result or UK testimonial to show you, and we will not borrow US results to imply otherwise.
What we can offer is a remote team with experience in the underlying work: database clean-ups, follow-up routines, transaction and progression-style tracking, and marketing. Whether that fits your branch, your CRM and your processes is something we agree in a free consult, before you commit to anything. We do not claim membership of Propertymark or any redress scheme, or registration with the ICO.
How does a remote team work with UK data?
Our delivery team is remote and Pakistan-based. If a virtual assistant sees personal data about vendors, buyers, landlords or tenants, UK data protection law applies to how you share it. The ICO publishes guidance on restricted transfers of personal data outside the UK, and the government publishes its own information on data protection.
We cannot give legal advice, and we make no compliance claims for ourselves. Read our explanation of offshore virtual assistants and UK GDPR for estate agents, then take advice from your data protection lead or solicitor before access is granted. Practical controls, such as limiting access to what a task needs, are worth discussing in the consult.
How does it work?
- Free consult. You describe the bottlenecks. We say plainly which we can help with and which we cannot.
- Scope and access. We agree tasks, tools and who sees what data. Pricing depends on scope, and the consult gives a clear number.
- Onboarding. We document your processes and templates so the work follows your standards.
- Weekly rhythm. Regular check-ins and a simple report on what was done and what is outstanding.
Who is this for?
This suits independent estate agents, small lettings teams and branch managers who are drowning in admin and want to keep the client relationship in-house. It suits you if you are willing to write down how you work and let a remote team follow it.
It also suits agents who want to understand the model first. Our UK estate agent virtual assistant guide is a good starting point.
Who is it not for?
It is not for agencies that need on-site staff, phone cover in UK business hours with no overlap, or anyone who cannot share data with an offshore team for policy or contractual reasons. It is also not for anyone expecting a ready-made UK track record from us. If a case study is a requirement, we are not there yet.
To see whether we are a fit, book a free consult through our contact page, or read how we work on the main real estate virtual assistant page.
