Property Management

We support property managers with rental listing marketing, tenant and owner communication, and the coordination that keeps a portfolio running.

A property management virtual assistant handles the steady stream of communication and marketing that property managers get buried under: rental listings, inquiries, showing requests, tenant questions and owner updates. The aim is that nothing waits for you to find a quiet hour, and that your tenants and owners get a consistent response.

Property management is a high-volume, low-margin-for-error business. A vacant unit costs money every day it is empty, and an unanswered maintenance message turns into a bad review. That makes it a natural place for reliable remote help.

What a VA can take on

  • Rental listing marketing. Writing listing descriptions, posting to the channels you use, refreshing stale listings and running social content.
  • Inquiry follow-up. Replying to prospective tenants quickly, answering standard questions and scheduling showings.
  • Tenant communication. Notices, reminders, and routine messages sent from templates.
  • Owner communication. Updates and status reports prepared for your review.
  • Coordination. Scheduling vendors, tracking requests and following up until they close.
  • CRM and automation. Putting inquiries and contacts into one system with automated reminders and follow-ups. See our CRM automation service.

What we do not do is replace your judgment. Decisions about screening, lease terms, deposits and legal notices stay with you or your attorney, and landlord-tenant rules differ by state.

What this looked like for real clients

Two of our clients run property management alongside real estate, and it is worth being clear about what each case study covers.

NOW Team (Orange County, CA). The team does property management and real estate, and its GoHighLevel account was functioning as a database rather than a pipeline. We rebuilt it around real pipeline stages and automations, set up a dedicated sending domain after emails on the shared domain landed in spam, and planned nurture automations covering speed-to-lead, appointment reminders and referral workflows. The NOW Team case study has the full picture.

Pamela Peninsula. She runs real estate and property management. We built a unified CRM across both, created her website from scratch, and formalized her transaction coordination. See the Pamela Peninsula case study.

Those projects centered on CRM structure, websites, automation and coordination. If you want help with rental listing marketing or tenant messaging specifically, we will scope it with you rather than point to a result we have not documented.

How it works in practice

We begin with a free consult. We look at how inquiries come in, where they get stuck and which tasks repeat. Then we write down the process: which messages go out, when, and who approves them. Once that is documented, the VA runs it daily. Templates and automations handle the routine items, and you see the exceptions.

Good process notes matter more than people expect. A new assistant who has your listing checklist and reply templates is useful on day one. One who has to guess is not. If your system lives mostly in your head, part of our job is getting it onto paper.

Common mistakes we help avoid

  • Posting a rental once and never refreshing it, so it sinks below newer listings.
  • Tracking inquiries across email, text and voicemail with no single list.
  • Answering the same five tenant questions by hand every week instead of using a template.
  • Keeping owner and tenant contacts in separate places with no tags to tell them apart.

Each of these is fixable with a little structure and someone assigned to maintain it.

Who this is for

It suits independent property managers and small portfolios with growing inquiry volume, and agents who manage rentals as a side line to sales. It is a weaker fit if your volume is very small, since you may not need steady help yet, or if you expect the assistant to handle trust accounting without your oversight.

For a broader view of the service, see our real estate virtual assistant page, or learn how teams approach automating lead follow-up, which applies equally to rental inquiries. Our GoHighLevel for real estate page shows the platform we used for NOW Team.
