kvCORE Virtual Assistant

If your brokerage still calls it kvCORE, we can help. The platform is now BoldTrail, and we manage your account, campaigns and lead follow-up inside it.

A kvCORE virtual assistant now works in BoldTrail, because Inside Real Estate rebranded kvCORE under that name in summer 2024. If your brokerage, tutorials or teammates still say kvCORE, we can still help: we manage the account, the contacts, the campaigns and the lead follow-up, whatever the login screen says.

This page is for agents who are not sure what they have. For the full service description, see our BoldTrail virtual assistant page.

What happened to kvCORE

Inman reported the rebrand in an article dated June 20, 2024. The change was originally planned for spring and was delayed by an April security incident affecting BoomTown services. The parent company keeps the Inside Real Estate name, while the applications carry the BoldTrail name. Inman described kvCORE as a 16-year-old platform being retired, and BoomTown had been acquired in January 2023.

According to BoldTrail’s blog, kvCORE, BoomTown and Brokermint were unified under the BoldTrail brand. Existing users migrate with their data preserved.

Where we start with an older kvCORE account

An account that has been through a migration, or a few years of different people using it, tends to show the same problems. We check for these first:

  • Tags that no longer mean one thing. Different people tagged contacts different ways over the years.
  • Campaigns still running that nobody remembers. Old sequences can message people who have long since moved on.
  • Lead capture that broke quietly. Forms and landing pages that stopped delivering after a change.
  • Email domain gaps. Missing or misaligned SPF, DKIM and DMARC records that push emails toward spam.
  • A database full of duplicates and dead addresses. They drag down deliverability for everything you send.

How the engagement works

  1. We confirm what your plan includes and who has admin access.
  2. We audit the database, tags, campaigns and lead sources and tell you what we find.
  3. We clean and restructure before building or changing any automation.
  4. We run follow-up and reporting, with regular campaign reviews.

What this looked like for a client

The Faruqi Team at eXp Realty NY runs on BoldTrail. Their 14,000-contact database was not being activated, and their CRM was half set up. We rebuilt the tags from scratch and segmented the contacts by relationship type and recency, then ran referral outreach and paid lead generation into the cleaned CRM. Read the details in the Faruqi Team case study. The same logic applies to any older kvCORE account: get the structure right before anything else.

How this page differs from our BoldTrail page

Our BoldTrail virtual assistant page covers the full service and the Faruqi Team engagement in detail. This page is for a narrower situation: you have an older account, a brokerage-provided login, or inherited setup, and you are not sure where things stand after the rename. In that case the first job is understanding what exists, not building something new.

Questions worth asking before you hire anyone

  • Have you worked inside kvCORE or BoldTrail, and what exactly did you do there?
  • How will you handle my existing tags and campaigns, and will you document what you change?
  • Who holds the login, and can you work at a permission level I choose?
  • What gets reported to me each week?

We are happy to answer all four, and to put the answers in writing.

What we have not verified

We do not claim to know every detail of how your plan handles lead routing or portal lead integrations, because we have not confirmed those from a primary BoldTrail source. We check them inside your account at the start, so you get an accurate picture and not a general assumption. The same goes for any feature the vendor markets: we would rather confirm it works for your setup than promise it.

Who this suits

This suits agents and teams still on an older kvCORE setup, brokerage-provided accounts that individual agents never fully configured, and anyone who inherited an account from a previous assistant. It does not suit anyone hoping a VA will handle listing presentations or negotiations. Those need a licensed agent.

If you are not sure what state your account is in, book a free consult and we will take a look with you. For background on what to hand off in any CRM, read what to outsource in real estate CRM management, and for the story behind the name change, see our post on the kvCORE virtual assistant.
