A BoldTrail Smart Campaign for seller leads should start the moment the lead lands, usually on a hashtag or the Lead is New trigger, and combine an immediate email, a call task for you and a few well-spaced texts. The limits matter more than the clever parts: one campaign per contact, office-hours sending and one text per day.
Which triggers can start a seller campaign?
According to BoldTrail’s help center guide to Smart Campaigns, there are four standard triggers and some advanced conditions. For seller leads, the hashtag is the most dependable.
- Lead is New. Applies to new leads, such as sign-ups from ads or lead funnels.
- Hashtag is. Applies when a specific hashtag is assigned, for example one your Facebook lead import adds.
- Contact is Transferred. Applies when a lead moves from one user to another.
- Specific Date Occurs. Applies on a date such as a birthday or home anniversary.
Advanced triggers combine conditions with IS, IS NOT, ONLY and MUST. The guide’s own example is Status IS New Lead plus Hashtag IS Zillow to catch only new Zillow leads. A seller version would pair New Lead status with your seller hashtag. A campaign can also have no start trigger, in which case it is only ever assigned by hand.
What are the rules that surprise people?
The surprises are in enrollment and sending, not building. All of these come from the same BoldTrail guide, and they should shape the design.
- One campaign per contact. A contact is assigned the most specific matching campaign. If two tie, the higher scope wins (Company, then Office, then Team, then Agent). A broker-locked campaign can therefore beat yours.
- Always Run. A campaign with Always Run on can be added alongside another one, and BoldTrail says that can mean multiple emails or texts on the same day.
- Office hours. Messages are not sent outside Office Hours. Actions queued outside those hours run the next day.
- Text limits. Campaign texts are limited to one per lead per day, text actions must be spaced 24 hours apart, and a text template is capped at 220 characters.
- Concierge. Smart Campaigns are not added automatically to leads with Concierge turned on. Admins can still add them by hand.
- Manual assignment sticks. A campaign applied manually is not removed when a status or trigger later changes.
- Archive stops it. Moving a contact to Archive unsubscribes them from automated communication.
The part a vendor page will not tell you is what this does to speed. A seller who submits a form at 11 pm gets no text at 11 pm. Check your account’s Office Hours setting, and do not promise yourself an instant first touch that the campaign cannot deliver.
What does a seller-lead campaign blueprint look like?
The following is an illustrative blueprint, not a BoldTrail template and not the step list of any client. Timings are examples. Adjust them to your market and your phone capacity.
The first hour
Send an email at once from the agent, thanking them and saying what happens next. Add a task for the agent to call, and add a text only if it will go out in office hours. BoldTrail’s delay settings accept minutes (1 to 60), hours or days, so a short delay between the email and a reminder task is possible. The call is the real first touch. The campaign’s job is to make sure it is not forgotten.
The first week
Space the contact out. An email on day 2 with a short market snapshot, a call task on day 3, a text on day 4 that asks one easy question, and an email on day 6. Respect the one-text-per-day and 24-hour spacing rules. If the lead replies, pause or remove the campaign by hand and answer personally. BoldTrail says its accountability calls stop in most cases when the lead texts or emails, but it does not say the rest of the campaign stops, so do not rely on that.
The first 30 days
Move to a weekly rhythm. Alternate value emails (neighborhood sales, what buyers are looking at, a simple home-value prompt) with one or two texts and a task at day 14 and day 30 to review whether the lead deserves a status change.
Long term
Do not leave the lead in an endless drip. End the first campaign with a Tag action that adds a hashtag starting a slower nurture campaign. BoldTrail’s guide describes this chaining, and says campaign actions can run for up to 720 days from assignment. Date-based campaigns cover birthdays and home anniversaries. For leads that never answer, see our guide to reactivating old leads in BoldTrail.
How does the Faruqi Team’s seller email system fit?
For the Faruqi Team (eXp Realty NY, led by Ambreen Faruqi), we built a branded seller-lead HTML email system in navy and gold, designed to be compatible with BoldTrail. It is ongoing work. We also fixed email deliverability on their domain with SPF, DKIM and DMARC, because a well-designed email that lands in spam does nothing.
We also built an automation so that when we run Facebook ads for her, seller leads are imported directly into BoldTrail, which then starts the email campaign, workflow and follow-ups automatically. We are not publishing the individual steps, timings or message copy, and we are not presenting any results beyond what is on the Faruqi Team case study. The import side is covered in how we auto-import Facebook seller leads into BoldTrail, and the usual setup is in the Zapier and Lead Dropbox guide.
When is a Smart Campaign the wrong tool?
A campaign cannot replace a conversation. Expired listings, FSBO sellers and anyone who has asked you a direct question need a human reply, and automated texts to someone who has already replied feel careless. Campaigns also depend on clean tags. If hashtags are inconsistent, the wrong people enter the wrong sequence. Our seller lead follow-up system covers the manual side that should sit beside the automation.
Texting also carries consent obligations, and the rules vary, so check yours with your broker or attorney. This is general information, not legal advice.
Who should build and maintain the campaigns?
Someone has to own them. Campaigns drift: a tag is renamed, a locked company campaign appears, an agent leaves, and a lead sits in the wrong sequence. This is routine work for a BoldTrail VA, and our BoldTrail virtual assistant service is built for it. A free consult will tell you what yours would take.
