To send Facebook lead ad leads into BoldTrail, copy a Zapier key from BoldTrail’s Lead Dropbox, then build a Zap that triggers on a new Facebook lead and creates a BoldTrail contact with a lead source and hashtag. The steps below follow BoldTrail’s and Zapier’s own documentation, with the mistakes we see when it goes wrong.
Does BoldTrail connect to Facebook lead ads natively?
For an agent’s own lead forms, we could not find a native connector in BoldTrail’s help center as of October 2026. BoldTrail’s help center does say Zapier connects BoldTrail to platforms that do not otherwise send leads to it.
BoldTrail does sell a different product, Smart Social Leads, a paid add-on from Inside Real Estate. There, BoldTrail runs the Facebook ads for you, and leads arrive tagged #kvbuyerpaid. That is not a way to bring in leads from ads you run yourself. This guide is for the second case. It is the documented route, not a claim about how any particular client’s automation is built, though we do build this kind of flow, as described in how we auto-import Facebook seller leads into BoldTrail.
What do you need before you start?
Gather these first, because most failures come from a missing permission rather than a wrong setting.
- A live Facebook lead form on a Page, with at least one recent lead (a test lead is fine) so Zapier has something to load.
- Page admin access and lead access. According to Meta’s developer documentation, Page admins have lead access unless it has been customized in Leads Access Manager.
- A Zapier account on a paid plan. Zapier labels Facebook Lead Ads a Premium app and says it needs a paid plan. BoldTrail adds that Zaps with more than two steps need a Zapier starter plan. Check Zapier’s current plans, because we do not quote them.
- BoldTrail admin access to the Lead Engine tab, so you can see the right Lead Dropbox key.
- A hashtag and lead source name decided in advance, and ideally the Smart Campaign that hashtag will start.
How do you set it up, step by step?
- Choose the key level. BoldTrail’s Zapier overview says the Zapier key decides where contacts go. An Agent key sends contacts only to your database, Office and Team keys send them into that group’s rotation and lead routing, and a Company key sends them into the whole company’s rotation. Pick deliberately.
- Copy the key. In BoldTrail, open the Lead Engine tab, select the Lead Dropbox tile, and in the right entity container copy the Zapier Key.
- Accept the BoldTrail Zap invite. The overview says to accept the BoldTrail (kvCORE) invite link and log in to Zapier. If kvCORE does not appear in Zapier, accept the link in a new tab and refresh your Zap.
- Set the trigger. In Zapier, choose Facebook Lead Ads and the New Lead event. Connect the Facebook account that administers the Page, then select the Page and the form.
- Create a test lead. Use Facebook’s Lead Ads testing tool, then go straight back to Zapier and test the trigger. Zapier says the trigger is instant and can miss a sample lead if you wait too long.
- Set the action. Add kvCORE as the action app and choose Create Contact (Post). Paste the key, test the connection, and save.
- Map the fields. BoldTrail lists name, email, phone, hashtags, notes, status and lead source as mappable. If the form gives only a full name, map it and fix it later. Put answers such as property address or timeline into notes.
- Set hashtags and lead source. Leave out the # because BoldTrail adds it, and separate several hashtags with the | symbol. Set a custom lead source, since a missing one shows as NULL or Manual.
- Test and check BoldTrail. Run the Zap test, then confirm the test lead appears in your account with the right owner, source and hashtag.
- Turn the Zap on. New Zaps start switched off, according to Zapier’s help center. Once on, it runs on every new lead.
How does the lead start a campaign?
The hashtag does it. BoldTrail’s Smart Campaigns guide lists Hashtag is as a standard trigger, and the Zapier overview says hashtags can assign Smart Campaigns automatically. Build the campaign before you turn on the Zap, so the first live lead is not the first test.
Remember that the campaign has its own rules: it sends only during Office Hours and limits texts to one per lead per day. We cover the design in BoldTrail Smart Campaigns for seller leads.
What are the alternatives to Zapier?
There are two other documented ways in, and neither is a Facebook connector. Lead Dropbox gives you an import email address, and BoldTrail says it reads lead emails and also imports contacts from CSV attachments. BoldTrail’s Zapier overview also describes a Zapier email parser. A third-party sync such as API Nation exists in the marketplace. We would pick one route and stick with it, because two routes feeding one form creates duplicates.
What mistakes do we see?
- The wrong key level. A Company key when you meant an Agent key puts new seller leads into company rotation.
- Expecting backfill. The connection is not retroactive. Leads from before the Zap was on need a separate import, such as a CSV sent to Lead Dropbox.
- Lead access that lapses. Zapier’s help center lists missing CRM access to the Page, a non-admin connecting user, an expired connection, and a “(#200) user does not have sufficient administrative permission” error as reasons a Zap stops. The “Restore Default Access” fix is in Zapier’s help article.
- Editing the form. Zapier says updating a Facebook form assigns a new form ID, so the Zap must be pointed at the updated form.
- No hashtag, no campaign. The lead lands in BoldTrail and nothing happens.
- Source left blank. You lose reporting and any routing rules that use the source.
- Nobody watching. A silent failure looks identical to a slow week. Check the Zap history and compare Facebook’s lead count with BoldTrail’s weekly.
How do you keep it working after launch?
Treat the connection as something that needs a short weekly check, not a one-time build. We would run this routine at least weekly, and daily in the first week.
- Compare the lead count in Facebook’s lead export with the number of new contacts carrying your hashtag in BoldTrail.
- Open the Zap history in Zapier and look for errors or a Zap that switched itself off.
- Confirm the Facebook connection is still valid, and that the Page still lists Zapier under lead access.
- Submit a test lead after any change to the form, the campaign or the Facebook account.
Also check Meta’s current form rules for your ad category before you add questions. Housing ads are restricted in what they can ask and target, which we cover in our Special Ad Category guide.
Who should not build this themselves?
If a missed lead costs more than the setup, get help. Teams with many agents also need someone to decide key levels and campaign scope. That is routine CRM work for us, and the BoldTrail virtual assistant guide covers what a VA can own. Our BoldTrail virtual assistant page and CRM automation service describe how we work, and the Faruqi Team case study shows it on a real account. A free consult will scope your setup.
