Real Estate Virtual Assistant for Expired Listings

Part of our guide: Real Estate Lead Generation

A real estate virtual assistant can take most of the grind out of working expired listings: sourcing the list, researching each property, preparing outreach for your approval, and tracking every touch in your CRM. What a VA should not do is improvise on compliance. Calling and texting expired-listing owners is regulated, so the rules need to be settled before anyone dials.

An honest note on our experience

We do not have an expired-listing case study, and we will not pretend to. The closest real example we have is the FSBO acquisition funnel we built for the NOW Team, which uses the same mechanics: a data source, a fallback source, outreach and CRM tracking. We cover it in our post on FSBO leads. Everything below is practical guidance on how the work is structured, not a claim about expired-listing results.

Where a VA helps: sourcing and research

Expired listings are time sensitive. A seller whose listing just ended is deciding right now whether to relist, so a list that is three weeks old is worth much less than a fresh one. A VA can pull expireds daily from the sources you already use, such as your MLS or a data provider, and put them in a consistent format. For each property they can then prepare a short research sheet:

  • Listing history, including price changes and how long it sat on the market.
  • The listing photos and description, with notes on anything that looks weak or missing.
  • Recent comparable sales you have already chosen as your standard set.
  • Owner and property details from public records.

This is prep work that eats an agent’s morning. Done by an assistant, you walk into each conversation knowing what the listing did wrong and what you would do differently.

Compliance basics before any outreach

This is general information, not legal advice. Rules change, and state and local requirements add to the federal ones, so check current rules with your broker, compliance contact or attorney before you start.

With that said, here is what secondary legal summaries consistently say. Realtors soliciting listing services generally cannot call expired or FSBO owners whose numbers are on the National Do Not Call Registry, because the registry has no exemption for listing solicitation. Some summaries note an exception for calling about a specific property on behalf of a buyer. Text messages raise a separate issue: marketing texts generally require documented prior express written consent, and reasonable opt-out requests must be honored now. The FCC has also been revising its consent revocation rules, with part of that rule delayed until January 31, 2027, so this area is still moving.

In practice we recommend a short written protocol:

  1. Scrub every number against the National Do Not Call Registry, applicable state lists and your own internal do-not-call list before it reaches a call queue.
  2. Record the scrub date in the CRM so there is a trail.
  3. Identify yourself and your business on every call.
  4. Honor any request to stop immediately and tag the contact so nobody contacts them again.
  5. Consider direct mail, which is not covered by the registry, for numbers that fail the scrub. Confirm that choice with your compliance contact too.

CRM tracking keeps it from falling apart

Expired leads are easy to lose because they cycle fast. Each one needs a source tag, an expiration date, a status, and a next-action date. A VA keeps these current, makes sure a lead who relists with another agent is closed out, and moves anyone who is not ready into a slower long-term nurture instead of deleting them. Many expired owners will relist in a few months, and a tagged record lets you reach them again at the right time. That kind of structure is what our CRM management service sets up.

What a typical daily rhythm looks like

Early in the day, the VA pulls new expireds and runs the scrub. Mid-morning, they build the research sheets and load the compliant contacts into the CRM with tasks assigned to you. Later, they send any approved emails or letters, log outcomes from your calls, and update statuses. At the end of the day you get a short summary: how many new expireds came in, how many passed the scrub, and which ones need your attention first. The routine is boring on purpose, because boring is what gets repeated every day.

How we built the NOW Team’s FSBO funnel

Since the NOW Team funnel is our nearest real example, here is how it was put together. The NOW Team (Hit Home Realty, led by Kacper Turek) works in Orange County and Lake Elsinore, CA, in property management and real estate. Their GoHighLevel account had been used as a database, not a pipeline. We rebuilt it around real pipeline stages and automations, then built a dual-source FSBO acquisition funnel with Landvoice as the primary source and Vulcan7 as the fallback. Lead follow-up stayed ongoing, and we drew up a nurture automation plan covering speed-to-lead, long-term nurture, appointment reminders and past-client and referral workflows.

That is FSBO work, not expired listings, and we are not claiming expired-listing results from it. The structure does carry over: a primary source, a fallback, clear pipeline stages and a long-term nurture track for owners who are not ready yet. See the NOW Team case study, our GoHighLevel real estate page and what a GoHighLevel VA can do.

On the Faruqi Team’s account we also built a branded seller-lead email system, which is useful context for the seller lead follow-up system approach. Details are in the Faruqi Team case study. We also built an automation that imports their Facebook seller leads straight into BoldTrail, described in how Facebook seller leads flow into BoldTrail.

Who does the talking

For listing solicitation, we think the conversation belongs to you or a licensed team member. A VA can handle research, list prep, scheduling, follow-up emails you have approved, and logging. Seller conversations about pricing and strategy are where your license and your judgment matter. The same split works well in our broader lead follow-up setup.

Who this suits

This works best for agents who have a listing presentation worth showing and a clear cadence, but no time to assemble the list each day. It is a poor fit if you have no compliance process yet, or if you expect an assistant to cold call and negotiate on your behalf without oversight.

If you want a VA to run the research and tracking side of expired and seller leads, see our lead generation and follow-up services. A free consult will outline the scope and a clear number.
