A lettings virtual assistant can take on the high-volume admin that surrounds a tenancy: answering enquiries, booking viewings, chasing referencing paperwork, tracking renewal and end dates, logging maintenance requests and keeping landlords updated. The line to hold is simple: a remote assistant runs the process, while people who are accountable for the regulated decisions make them.
A clear disclosure first. AssistantStead’s delivery team is remote and Pakistan-based, and our published client work, including property management, is US-based. We have no UK lettings case study, so treat this as a delegation framework to test, not a record of UK results.
Which lettings tasks can a remote assistant run?
Those that follow a repeatable script, live inside your systems and end in a human decision. Here is how we would divide the work.
| Task | Remote VA can | Stays with your team |
|---|---|---|
| Enquiries | Reply from approved templates, qualify, log in CRM | Pricing advice, negotiation |
| Viewings | Book, confirm, reschedule, send reminders | Attending, applicant assessment |
| Referencing | Chase documents, update status, flag gaps | Pass or fail decision, identity and Right to Rent checks |
| Renewals and ends | Track dates, prepare reminders for review | Rent changes, notices, advice |
| Maintenance | Log requests, collect photos, chase contractors | Approval of spend, safety judgement |
| Landlord updates | Draft status updates and reports | Sign-off, difficult conversations |
| Marketing | Listing text, portal admin, social posting | Final approval, compliance wording |
How does enquiry handling work in practice?
Speed and consistency are the whole job. The assistant monitors the shared enquiry inbox and CRM, replies using approved wording, asks the standard qualifying questions (move date, budget, household, pets, any support needed for viewings) and records the answers on the applicant record so the negotiator sees the full picture. Anything outside the script, such as a complaint, a request to bid above the advertised rent or a question about eligibility, goes straight to a named person.
Write the script with your lettings manager first. We would also limit the assistant to your own systems, not personal email or messaging apps, for the data protection reasons covered in our guide to offshore assistants and UK GDPR.
Viewings and applicant chasing
Viewing admin is almost pure logistics: confirming slots with applicants and tenants in situ, sending reminders, and recording feedback afterwards for the landlord. Referencing is where a VA saves the most chasing time, because most delays are waiting on an applicant, employer or guarantor. The VA can send the reminder, log the response and tell the negotiator what is outstanding. The pass or fail call, and any identity check, stay with your team.
On Right to Rent, gov.uk’s landlord code of practice says landlords must carry out the prescribed checks and that agents can help landlords do this correctly. Treat that as a check item: decide with your compliance lead which staff perform checks and where copies of documents are stored, and do not hand original identity documents to anyone you have not cleared for that purpose.
Renewals, tenancy ends and compliance dates
Date tracking is ideal for delegation because the failure mode is forgetting. Software vendors describe the same need: Alto’s lettings page, for example, says it keeps tenancies, renewals and compliance deadlines in one place and renews gas, electrical, EPC and PAT certificates, and Reapit’s property management page mentions tasks, due dates and renewals. A VA can work the diary view in whichever system you use, prepare the renewal or end-of-tenancy reminder for review, and chase contractors for certificate appointments.
The VA does not decide whether a certificate satisfies the rules, and does not serve notices. Those are regulated judgement calls for qualified staff.
Maintenance requests and landlord updates
A good maintenance workflow has four stages: log the request with photos and access details, triage by a person, instruct the contractor, then close the loop with the tenant and landlord. The VA covers the first, third-party chasing and the last. Spend approval and safety judgement stay with the property manager. Street.co.uk’s site describes tenants reporting maintenance with photos through its system, which shows how much of the intake can already be structured.
Landlord updates work best as a weekly or fortnightly digest drafted from the CRM: viewings held, applications, repairs open, renewals due. The VA drafts, a person reads and sends anything that carries bad news.
What stays regulated or human?
Several items sit outside what we would ever suggest delegating to a remote VA:
- Client money, rent runs, deposits and landlord payments. Check what gov.uk, Propertymark and TPO say about client money protection and redress for your firm.
- Serving notices, rent increase procedure and anything involving possession.
- Tenancy advice, dispute handling and complaints.
- Pass or fail referencing decisions, and identity and Right to Rent checks.
The regulatory ground has also moved. According to gov.uk, the Renters’ Rights Act received Royal Assent on 27 October 2025, and gov.uk’s How to Rent page states it was withdrawn on 1 May 2026 because of the Act. Local council guidance, such as Woking Borough Council’s, describes the first phase starting on that date, including the end of Section 21 evictions and most tenancies becoming periodic, with a landlord database and ombudsman planned for later. Check gov.uk for current dates and your own obligations, because phases and details change, and let your compliance lead update the scripts the VA follows.
Social posting and listing admin
Listing admin is the most self-contained task on this list. The assistant drafts descriptions from the negotiator’s notes, checks that room sizes, availability dates and fees shown match the property record, and keeps portal listings current when status changes. Social posting follows a calendar: new instructions, let-agreed notices, area content and landlord-facing tips. Anything that quotes a rent, a fee or a legal point goes past a named reviewer before it is published, and fee wording in particular is worth checking against current gov.uk and Propertymark guidance.
Keep a log of what was posted and when, since one named person should always be able to say who approved a given listing. If a listing is later challenged, you want to know who wrote the wording and who approved it.
What does the nearest published work look like?
Our nearest published work is in the US, and we say so to avoid any implication of UK lettings experience. For the NOW Team, which runs property management alongside real estate, we rebuilt GoHighLevel around real pipeline stages and automations and handled lead follow-up and email campaigns. For Pamela Peninsula, who runs real estate and property management, we unified the CRM across business lines, built a new website and formalised transaction coordination. Neither case study covers UK rules, and we have no figures to quote beyond those published.
Our property management page and the post on property management marketing with a virtual assistant go further into the tasks, from a US angle.
How to start without risking much
Pick one workflow, such as viewing admin or renewal reminders, write the script, give the assistant a restricted login and review every output for two weeks. Expand only once the error rate is low. If you are still choosing software, our look at the best CRM for UK estate agents covers what to ask vendors, and the UK page explains how a free consult scopes what we could support for a UK firm.
