A BoldTrail virtual assistant can manage most of the daily work inside your CRM: contact cleanup, tagging, Smart Campaigns, lead follow-up, email builds and reporting. What a VA should not do is replace you on the phone with a motivated seller or at the table with a buyer. The CRM upkeep that eats your evenings is the part worth handing off.
Most agents who own BoldTrail (the platform formerly known as kvCORE) are using a fraction of it. The system is capable. The gap is almost always time and ownership, not features.
What a BoldTrail VA can manage
Here is the work we typically scope for a team running BoldTrail:
- Database hygiene. Removing duplicates, fixing bad phone numbers and emails, and merging records so one person is one contact.
- Tagging and segmentation. A consistent tag structure for relationship type, lead source and recency, so you can find the right people in seconds.
- Smart Campaigns. BoldTrail’s drip sequences, built, assigned and reviewed on a schedule. According to BoldTrail’s own materials, Smart Campaigns are AI-driven drip sequences that sit inside its behavioral CRM.
- Lead follow-up. Daily contact with new and warm leads, with notes logged so you know what was said before you call.
- Email production. Branded templates for seller and buyer campaigns that render properly in BoldTrail.
- Lead capture upkeep. Checking that forms, landing pages and ad leads are actually landing in the CRM and getting tagged.
- Reporting. A short weekly summary of what came in, what was contacted and what needs your attention.
What it looks like when the CRM is half set up
The Faruqi Team, led by Ambreen Faruqi at eXp Realty NY, came to us with a 14,000-contact BoldTrail database that was not being activated and a CRM that was only half set up. That is a common starting point. The contacts exist, but nobody can tell a past client from a cold portal lead.
We rebuilt the tagging structure from scratch and segmented the 14,000 contacts by relationship type and recency. Once the database was organized, we ran two channels. The first was a B2B referral channel: a two-touch podcast outreach sequence (Day 1 and Day 3) aimed at title companies and estate attorneys, who are strong referral sources for probate and inherited property. The second was a B2C paid channel, with Meta lead-gen ads running under Special Ad Category compliance and feeding the newly tagged CRM.
We also built a branded seller-lead HTML email system in navy and gold, compatible with BoldTrail, and fixed email deliverability on their domain (SPF, DKIM and DMARC). One ad push produced 5 leads in 2 days at a $15 cost per lead. You can read the full story on the Faruqi Team case study. A separate run of the Facebook ad produced 5 seller leads in one day at about $8 each, imported straight into BoldTrail by an automation we built that starts the email campaign, workflow and follow-ups (how that flow works). The limits Smart Campaigns work within are covered in BoldTrail Smart Campaigns for seller leads.
How the work usually runs
- Audit. We look at the database, tags, campaigns, lead sources and email setup, and write down what is broken.
- Clean and structure. Dedupe, fix records, and settle the tag and segment structure before anything else gets automated.
- Build. Campaigns, templates and lead-capture checks, built on that structure.
- Operate. Daily follow-up, weekly reporting and monthly campaign reviews.
The order matters. Automating a messy database just sends the wrong message to more people faster.
What you will still own
You keep the relationship work. That means conversations with hot leads once they respond, listing presentations, pricing advice and the final word on messaging. We draft, schedule and send campaigns, but we write them in your voice and show you what is going out before it does.
You also keep access. The CRM stays in your account, under your login, with your data. A VA is a team member working inside your system, so if you ever part ways, nothing has to be rebuilt or exported in a hurry.
A good test of any VA arrangement is whether you could read a one-page weekly report and know exactly where your leads stand. If you cannot, the work is not visible enough, and we would want to fix that before adding anything else.
Where a VA does not fit
A virtual assistant is not a licensed agent. Negotiation, pricing advice, showings and anything that requires a license stay with you or your licensed team members. Rules on what unlicensed assistants may do also vary by state, so check yours.
A VA is also a poor fit if you do not plan to open the CRM yourself. We build the system around how you work, and we need you to answer leads when they are ready for a human.
Is BoldTrail still the same as kvCORE?
If you are searching for help under the old name, the platform is the same one. Inside Real Estate rebranded its products as BoldTrail in 2024, and existing kvCORE users moved over with their data preserved, according to BoldTrail’s own blog. We cover what changed in our post on the kvCORE virtual assistant.
If your BoldTrail account has become a place where contacts go to sit, our BoldTrail virtual assistant service is built for that. A free consult gives you a clear scope and number, and the site also offers 5 free VA hours as a way to start.
