Propertybase Virtual Assistant: Salesforce Real Estate CRM Support for Canadian Teams

Part of our guide: Canada

A Propertybase virtual assistant is a remote administrator who looks after the everyday upkeep of your Propertybase CRM: cleaning contact data, merging duplicates, assigning new leads, refreshing reports and writing handover notes. It is a good fit for Canadian brokerages and teams that run a Salesforce-based real estate CRM but do not have anyone free to keep it tidy.

AssistantStead is a remote virtual assistant company for real estate. Our delivery team works remotely, and the tasks below are administrative. Licensing, advice and anything a regulator treats as the registrant’s job stay with the licensed salesperson or broker.

What is Propertybase, and why does it need upkeep?

According to Lone Wolf’s Propertybase page (propertybase.lwolf.com), Propertybase is a real estate CRM built natively on Salesforce, covering lead capture and routing, deal and transaction tracking, workflow automation on Salesforce Flow, email marketing, property alerts, mobile access and Salesforce dashboards. The same page says it is aimed at agents and brokerages and can scale from 10 agents to 200 or more. Features and plans change, so confirm the current list with Lone Wolf as of October 2026.

That flexibility is the catch. A Salesforce-based CRM does what its configuration tells it to, and configuration drifts. Fields get added without a plan, agents leave, lead sources multiply and reports stop matching reality. Someone has to keep the data honest every week, and that is the work a Propertybase virtual assistant is suited to.

Is Propertybase available in Canada?

Lone Wolf’s page says Propertybase serves brokerages in “60+ countries” but does not name Canada, and it does not describe Canadian MLS board connections. We will not guess. Before you buy or expand, ask Lone Wolf in writing about Canadian availability, which MLS data feeds are supported for your board, where your data is hosted and what support hours apply. If you already run Propertybase, the questions below still apply to how you staff it.

What can a Propertybase virtual assistant do day to day?

A Propertybase virtual assistant works best on repeatable tasks with clear rules. Here is how we would divide them.

Data quality

Standardize names, phone formats and email addresses, fill missing lead source fields, tag contacts by relationship (past client, sphere, active buyer, seller prospect) and flag records with no owner. Agree the rules first, then apply them the same way every time.

Duplicates

Salesforce documents matching rules and duplicate rules for finding and handling duplicate records; check Salesforce Help for how they behave in your org. A VA can work the duplicate queue: review likely matches, merge those that are clearly the same person and escalate the doubtful ones to the agent. Merging is hard to reverse, so the rule is “when in doubt, ask”.

Lead assignment and speed to contact

Where your admin has set up routing, the VA monitors the new-lead queue, reassigns stalled leads under your written rules, logs the first call or message and makes sure nothing sits unowned overnight. The routing logic itself stays with the admin. For the follow-up side, see our guide to a Canadian realtor lead follow-up system.

Reporting

Run the same dashboards each week: new leads by source, leads with no activity, open tasks by agent, pipeline by stage and listings or deals with missing dates. The VA reports what the numbers show and flags obvious data problems. Choosing which metrics matter is your call.

Handover and documentation

Keep a one-page operating note: field definitions, tag meanings, lead source names, who owns what, and what changed this month. When an agent leaves or a new coordinator starts, the handover is a document, not a conversation someone has to remember.

What needs a certified Salesforce admin instead?

Anything that changes how the system behaves should be done by a qualified Salesforce administrator or your Propertybase implementation partner, not a general virtual assistant. Salesforce offers a Platform Administrator certification through its Trailhead and certification programs, which is one way to judge whether a person has that skill.

  • Security and permissions: profiles, permission sets, sharing rules and who can export data.
  • Automation: building or editing Flows, validation rules and assignment logic.
  • Data model changes: new objects, record types and field changes that affect reports.
  • Integrations and imports: MLS feeds, website lead capture, e-signature and bulk data loads.
  • Sandbox testing and releases: changes that should be tried before they hit live records.

A VA who tells you they can safely rebuild your Flows after a short onboarding is overpromising. A good one tells you when a request is an admin task and writes it up clearly so the admin can act quickly.

Weekly Propertybase virtual assistant checklist

This is the routine we would put in writing for a Propertybase virtual assistant, with who owns each item. It is illustrative, so adjust it to your brokerage.

Task How often VA Admin or agent
Check new leads for owner and source Daily Yes Agent confirms assignments
Log first contact and set follow-up tasks Daily Yes Agent handles conversations
Review duplicate queue Weekly Review and merge clear matches Agent decides doubtful ones
Fix missing fields and tags Weekly Yes Admin updates field rules
Refresh standard dashboards Weekly Yes Broker reads and decides
Flag broken routing or automation Weekly Report only Admin fixes
Review user list and access Monthly Prepare list Admin changes access
Update the handover note Monthly Yes Broker approves

How do you give a Propertybase virtual assistant access safely?

Give them a named user with the least access that lets them do the job. Do not share a login, because shared logins make it impossible to see who changed what. Ask your admin what that profile can export and whether bulk export should be limited.

Privacy is part of the decision. The Office of the Privacy Commissioner of Canada (priv.gc.ca) says organizations subject to PIPEDA remain responsible for personal information they send to third parties for processing, including processing outside Canada, and should tell individuals in clear language when information may be processed in another country. Take advice from your privacy officer or lawyer, and write the access rules into your service agreement. Messaging consent is a separate topic, covered in our post on CASL compliance for real estate email and SMS.

Propertybase virtual assistant or part-time admin?

A part-time Salesforce admin is the right hire when you need configuration work. A Propertybase virtual assistant is the right hire when the system is sound but the weekly upkeep is falling behind. Many brokerages need both, a few admin hours a month plus a VA who works the queues every day.

When a Propertybase virtual assistant is not the right answer

If your Propertybase account has no clear pipeline, nobody owns it and the data model is a mess, hiring a VA first will only make the mess neater. Start with an admin review, decide the rules, then hand the upkeep to a VA. If you are unsure Propertybase is the right system at all, our guide on choosing a CRM for a real estate team is a better starting point, and the breakdown of what to outsource in CRM management applies to any platform.

We also manage Lone Wolf CRM records for a broker and agent, with social media, ads and automations, described in our Terranova Realty case study. Propertybase is a separate Salesforce-based product, so scope it on its own merits.

How to scope the work before you start

  1. List your record types, lead sources and the three reports you read most.
  2. Write the rules for assignment, tagging and merging in plain language.
  3. Decide which tasks are VA work and which are admin work, using the table above.
  4. Set the access profile, test it with a small batch and review after two weeks.

If you want a Propertybase virtual assistant scoped properly, our real estate CRM virtual assistant service and our virtual assistant services for Canadian real estate pages explain how we work. You can also start with a real estate virtual assistant consult, and the 5 free VA hours offer is there if you want to test a small batch of tasks first.

Frequently asked questions

A Propertybase virtual assistant handles the routine administration of the CRM: updating contact records, merging duplicates, assigning and following up new leads, running scheduled reports and keeping handover notes. They work inside the access your admin gives them and do not redesign the system.

Yes, for day-to-day data work such as record clean-up, list building, task follow-up and report refreshes. Changes to security, objects, automation logic and integrations belong with a certified Salesforce administrator or your Propertybase implementation partner.

Lone Wolf's Propertybase page says it serves brokerages in 60+ countries but does not mention Canada specifically. Ask Lone Wolf directly about Canadian availability, MLS data connections and support before you commit.

For anything beyond routine data upkeep, yes. A VA keeps the system tidy; an admin owns permissions, automation logic, integrations and releases. Many teams use a part-time admin or partner alongside a VA.

Create a named user with the least access needed, do not share a login, review what that profile can export, and write down who is accountable for the data. Under PIPEDA you remain responsible for personal information your helpers handle.
