The best CRM for a real estate team is the one your team will actually use and keep clean. Features matter less than most comparison charts suggest. A well-maintained average system beats a neglected powerful one every time, so choose on fit and on who will own it afterward.
We work inside several of these platforms, so we have no reason to push one. Here is how we think about the choice, with the caveat that we are summarizing vendor descriptions and public sources, not running a lab test.
Start with how your team works
Before comparing products, answer a few plain questions:
- Where do your leads come from: portals, ads, referrals, open houses, past clients?
- Do you need a website and IDX built into the CRM, or do you have one already?
- How many people touch leads, and who decides who gets which one?
- Who will clean and update the system every week?
The last question gets skipped, and it is the one that decides success.
How the four compare
BoldTrail
BoldTrail is the 2024 rebrand of kvCORE, from Inside Real Estate. By its own description, it combines a behavioral CRM, Smart Campaigns, IDX websites and lead capture in one platform. It suits teams that want that all-in-one setup. Pricing varies by plan and brokerage arrangement, so ask for a quote.
Lofty
Lofty, formerly Chime, offers Smart Plans, which are behavior-triggered follow-up sequences. We built a 30-email nurture sequence around them for Tammy Theis, so we know how they behave. Lofty does not publish pricing, and third-party figures we have seen come from a competitor, so we do not repeat them.
GoHighLevel
GoHighLevel is flexible and not built only for real estate. That flexibility is also the risk, because you build the pipelines and automations yourself. For the NOW Team, GoHighLevel had been used as a database, not a pipeline, and we rebuilt it around real stages and automations. Texting through it also requires A2P 10DLC registration, which takes setup time.
Follow Up Boss
Follow Up Boss is owned by Zillow Group, which announced the acquisition in November 2023 and said it would keep operating as an independent brand. Its help center describes Action Plans, Smart Lists and Automations, and it has a broad integration ecosystem. We have no FUB case study, so we make no claims beyond that.
A quick comparison of considerations
| Platform | Worth knowing | Watch out for |
|---|---|---|
| BoldTrail | All-in-one: CRM, IDX websites, lead capture | Tags and campaigns drift if nobody owns them |
| Lofty | Smart Plans trigger follow-up from behavior | Pricing is not public; get a written quote |
| GoHighLevel | Highly flexible pipelines and automations | You build everything, and texting needs A2P registration |
| Follow Up Boss | Action Plans, Smart Lists, many integrations | Lead-intake rules still need a clear owner |
None of these is wrong for every team. Each one rewards the team that sets it up properly. What we would not decide on
- Feature counts. Most teams use a fraction of what they pay for.
- Vendor win-rate claims. They are marketing, not evidence.
- Price alone. We have not verified current pricing for these platforms, so get written quotes and read the contract terms.
- Switching because of a messy account. A messy database moved into a new CRM is still a messy database.
The CRM matters less than who maintains it
Every one of these systems fails the same way. Contacts go in, nobody tags them, automations are half built, and leads sit. The Faruqi Team had 14,000 contacts in BoldTrail that were not being activated, with the CRM half set up. The software was fine. What had been missing was someone to organize and run it.
The cost of slow follow-up is well documented. The Inman Real Estate Technology Survey found the median agent takes more than 900 minutes to respond to a web lead, and NAR reports that 78% of buyers work with the first agent that responds. A CRM only helps if someone is acting on what is in it.
Hiring is a fair alternative to buying more software. A part-time assistant who owns the CRM will usually do more for your results than a better tool that nobody has time to open.
What this looked like on the Faruqi Team’s 14,000-contact BoldTrail account
The Faruqi Team (eXp Realty NY, led by Ambreen Faruqi) had 14,000 contacts in BoldTrail and a CRM that was only half set up. We did not begin with automations. We rebuilt the tagging structure from scratch, then segmented the contacts by relationship type and recency. Only after that did we run two channels: a two-touch podcast outreach sequence (Day 1 and Day 3) to title companies and estate attorneys, and Meta lead-gen ads under Special Ad Category compliance that feed the tagged CRM. One ad push brought 5 leads in 2 days at a $15 cost per lead. That is a single push, not a benchmark. The full story is in how we managed a 14,000-contact real estate database and the Faruqi Team case study.
And on GoHighLevel and Lofty
For the NOW Team, GoHighLevel had been used as a database, not a pipeline. We rebuilt it around real pipeline stages and automations, and set up a dedicated sending domain because emails sent from GoHighLevel’s shared domain were landing in spam. See the NOW Team case study and our GoHighLevel for real estate page. With Tammy Theis, the Lofty work was about letting behavior drive follow-up, which we compare in Lofty Smart Plans vs manual follow-up.
A simple way to decide
- Pick two finalists based on your lead sources and team size.
- Ask each vendor for a written quote and a data export policy.
- Decide who owns the system before you buy.
- Start with clean data, not a bulk import of everything.
If your answer to step three is “nobody,” that is where we come in. Our real estate CRM virtual assistant service covers BoldTrail, Lofty and GoHighLevel, and we will scope work around Follow Up Boss as well. A free consult will give you a clear number.
