GoHighLevel for Canadian Realtors: Setup Checklist and CRM Management

Part of our guide: GoHighLevel for Real Estate

GoHighLevel for Canadian realtors is a flexible CRM and marketing platform that you build to match how you sell: buyer and seller pipelines, lead capture, automated follow-up and email or text campaigns. It is not real-estate specific out of the box, so the setup order matters, and for Canadian agents that includes consent under CASL and proper sender authentication.

This checklist covers the build in the order we would do it, the tests to run before launch and what a GoHighLevel VA maintains each month. Our delivery team works remotely and the tasks here are administrative. Decisions about consent, advertising and trading rules stay with the licensed realtor and brokerage.

GoHighLevel for Canadian realtors: the setup checklist

Work through these in order when you set up GoHighLevel for Canadian realtors, whether you are a solo agent or a small team. Skipping ahead to workflows is the most common reason GoHighLevel ends up as an expensive contact list.

  1. Account basics. Enter your legal business name, mailing address, website and phone number. These feed your email footer and any texting registration.
  2. Users and roles. One login per person, with the minimum role each needs.
  3. Pipelines. Separate buyer and seller pipelines with stages that match real deal movement.
  4. Tags and custom fields. Decide the naming system before importing anything.
  5. Lead capture. Website forms, Facebook lead forms, portal or referral leads, each tagged by source.
  6. Consent records. Capture how and when each contact consented.
  7. Sender authentication. A dedicated sending domain with SPF, DKIM and DMARC.
  8. Workflows. Speed-to-lead, nurture, reminders and past-client follow-up.
  9. Testing. Run the QA list below.

How should you build pipelines for a Canadian real estate business?

Build one pipeline per way you actually work a deal, usually buyers and sellers, and keep stages few and observable. A stage should mean something a person did, such as “showing booked” or “listing appointment held”, not a mood like “warm”.

If you handle rentals, referrals out or pre-construction assignments, give each its own pipeline instead of forcing it into the buyer flow. This is the same principle we used when we rebuilt a client’s account that had been used as a database rather than a pipeline, described in our NOW Team case study. For the generic build steps, see our GoHighLevel setup guide for real estate agents.

Which tags and custom fields do realtors need?

Keep tags for status and source, and custom fields for facts you will filter or merge into messages. A small set used consistently beats a long list nobody follows.

  • Source tags: website, Facebook form, open house, referral, sign call, past client.
  • Relationship tags: buyer, seller, investor, sphere, past client.
  • Consent tags: express consent, implied consent with an expiry date, unsubscribed.
  • Custom fields: neighbourhood or farm area, price range, timeline, preferred language, consent date and source.

Write the tag dictionary down. When someone invents “hot-lead-2” in six months, the dictionary is how you notice and fix it.

How do you capture leads and keep consent records in GoHighLevel?

Every lead path should create the contact, apply a source tag, start the right workflow and store the consent evidence. For forms, that means a clear consent statement next to the email and phone fields, an unchecked box where you rely on express consent, and a timestamp saved to a custom field.

According to the CRTC’s CASL FAQ, there are two types of consent, express and implied. Express consent does not expire, though the person can withdraw it. Implied consent exists only in defined circumstances, such as an existing business relationship, and the same FAQ refers to time periods, including a six-month period tied to certain inquiries and a two-year period tied to purchases. Because these rules are detailed, read our post on CASL compliance for real estate email and SMS and confirm your approach with the brokerage or a lawyer.

What does CASL mean for GoHighLevel emails and texts?

CASL applies to commercial electronic messages, including texts. The CRTC FAQ says commercial texts are covered because they go to an electronic address, and that you must identify yourself and anyone on whose behalf the message is sent. It also says an unsubscribe request must be processed without delay and no later than 10 business days, and that penalties go up to $10 million per violation for corporations and $1 million for individuals.

In practice, set GoHighLevel up so that the unsubscribe link is in every marketing email, opt-outs apply across workflows, and your footer carries your name and mailing address. Do not import a purchased or scraped list and email it. Treat the tools as helpers and the consent record as your evidence. Check the CRTC and fightspam.gc.ca guidance, or your lawyer, for your exact situation.

How does SMS work for Canadian numbers in GoHighLevel?

It depends on the route and the number. According to HighLevel’s help center article on Canadian 10DLC numbers, as of October 2026, texting from a Canadian 10DLC number to US recipients requires A2P registration. For Canada-to-Canada texting, the article says numbers bought before March 26, 2025 do not need A2P for that route, while numbers bought on or after that date can use either A2P or Persona identity verification. Consent, opt-out and content rules still apply either way.

Toll-free numbers follow a separate verification process, and HighLevel notes that approval is not a delivery guarantee. This is a US carrier-driven system, so check HighLevel’s current article and your account’s Trust Center before you plan texting campaigns.

How do you set up SPF, DKIM and DMARC for GoHighLevel?

Use a dedicated sending domain or subdomain and publish SPF, DKIM and DMARC records in your DNS, following HighLevel’s own setup steps. SPF lists the servers allowed to send for your domain, DKIM signs messages and DMARC tells receivers what to do when checks fail.

Warm up the domain before you send a large campaign; HighLevel’s Email Sending Guide describes a gradual increase over about four weeks. The details are in our post on fixing GoHighLevel emails that go to spam. We handled the same type of work, a dedicated sending domain with SPF, DKIM and DMARC, for the NOW Team after emails sent from GoHighLevel’s shared domain were landing in spam.

Which workflows should be live first?

In a GoHighLevel for Canadian realtors build, workflows come last because they depend on everything above. Start with four: instant response to a new lead, a segmented nurture sequence, appointment reminders and a past-client or referral touch. Build them one at a time and switch on only after testing.

  • Speed to lead: a first message, a task for the agent and a stop condition when the lead replies or books.
  • Nurture: messages by segment and consent status, not a single blast.
  • Reminders: confirmation and reminder messages ahead of appointments.
  • Past clients: anniversary or market-update touches to those with valid consent.

Our post on a GoHighLevel Facebook lead form workflow shows a worked example of the first one.

Monthly upkeep: what a GoHighLevel VA maintains for Canadian realtors

Good GoHighLevel for Canadian realtors is a maintained system, not a one-off build. A GoHighLevel VA keeps the build healthy: reviewing stalled opportunities, correcting tags and fields, fixing workflows that errored, checking unsubscribes and bounces, refreshing email content and running the QA list after any change. They also run daily follow-up tasks and keep a change log so you know what moved. Our GoHighLevel real estate virtual assistant page lists the full scope.

Some things should not be handed over. Consent policy, advertising claims and anything a provincial regulator or your brokerage treats as the registrant’s responsibility stay with you. Also, GoHighLevel is a poor fit if you want a ready-made real estate CRM with almost no setup; a system built for agents may suit you better, as our comparison of CRMs for real estate teams explains.

Frequently asked questions

Build in this order: account and business details, pipelines, tags and custom fields, lead capture, consent records, sender authentication, then workflows. Test every path with a real submission before turning automation on.

No software makes you compliant by itself. CASL puts the duty on the sender to hold consent, identify itself and honour unsubscribes. GoHighLevel gives you tools such as forms, tags and unsubscribe handling, but you must configure them and keep consent records.

Yes, but rules depend on the route. HighLevel's help center says Canada-to-US texting from a Canadian 10DLC number needs A2P registration, while Canada-to-Canada rules depend on when the number was bought. Check HighLevel's current article before you register.

Yes, if you send marketing email from your own domain. Set up a dedicated sending domain with SPF, DKIM and DMARC, then test inbox placement before a campaign.

Yes, for administrative upkeep such as pipeline accuracy, tags, workflow fixes, email builds and daily follow-up tasks. Consent decisions, advice and regulated activity remain with the licensed realtor or brokerage.
