GoHighLevel for UK Estate Agents: What to Consider Before You Switch

Part of our guide: GoHighLevel for Real Estate

GoHighLevel for UK estate agents can work well as a follow-up and marketing layer, but it is a general-purpose automation platform, not estate agency software. It does not replace the system that sends listings to the portals and runs lettings. Before you switch anything, check five things: portal handling, PECR consent, UK text-message setup, email authentication and where your data sits.

This guide is a decision framework for an agency owner or branch manager. Everything we say about HighLevel comes from its own public pages as read in October 2026, and vendor details change, so confirm them in your own account. Our GoHighLevel real estate service page covers the build work we do on the platform itself.

Is GoHighLevel built for estate agents?

No. It is a flexible CRM and marketing toolkit that you shape into a pipeline yourself, which is its strength and its cost. UK agency systems arrive with sales and lettings workflows already designed. A general-purpose platform arrives empty, and somebody has to build the structure.

That matters because a UK branch has jobs a blank platform will not do on its own: valuation booking, offer logging, memorandum of sale, tenancy renewals, certificate expiry. You can model some of them with pipelines and tasks. You cannot assume the portal feeds, compliance tooling or client accounting exist. Our comparison of UK property CRMs against US platforms walks through what Alto, Reapit, Street.co.uk and Jupix say about themselves.

On portals specifically, we found no documented native feed between HighLevel and Rightmove, Zoopla or OnTheMarket on its public pages. Absence from a page is not proof of absence in the product, so ask HighLevel in writing how listings and portal enquiries would reach the account. If the answer is a custom connection, treat it as a build with a maintenance cost.

GoHighLevel versus an estate agency CRM: where each fits

The honest answer is that they do different jobs, and some agencies run both. This table is our own rule of thumb, not a vendor claim.

Job Estate agency CRM GoHighLevel
Portal listings and enquiries Usually built in (check yours) No documented feed found
Lettings and compliance dates Usually built in Must be modelled by hand
Email and text sequences Varies, often basic Strong, you build the logic
Custom pipelines Fixed or semi-fixed Fully configurable
Set-up effort Vendor onboarding Entirely yours
UK data terms Check the vendor Check the vendor

A sensible split, if you want both, is to keep the agency system as the record of truth for properties, vendors and applicants, and use GoHighLevel for nurture sequences and enquiry follow-up from your own website and ads. The risk is two systems that disagree about who a contact is. Decide which one wins before connecting anything.

Switching entirely is a bigger step, and for many branches it is the wrong one. If you list weekly and hold a lettings book, we would not move the core record out of UK agency software on the strength of better email automation alone.

What does PECR mean for automated follow-up?

Automation makes it easy to send more messages, so consent has to be settled first. The ICO’s guidance on electronic mail marketing says you can email or text someone who has specifically consented, and that a narrow soft opt-in applies only where the person bought, or negotiated to buy, something similar from you, was offered an opt-out when you collected their details, and is offered it again in every message. The ICO says the same rules cover emails, texts, picture and video messages, voicemails and social media direct messages.

For an estate agency, that raises practical questions about your sequences:

  • A vendor who has instructed you may fit the soft opt-in for similar services. A portal enquirer asking about one property is a different case, so ask whether your enquiry form captured marketing consent separately.
  • An old applicant list is not safe to import and message just because it exists. Record when and how each person agreed, and which channel.
  • Every marketing email and text needs a working opt-out, and the workflow should stop at once when someone uses it.

The ICO says this guidance is under review because of the Data (Use and Access) Act, so read its live pages before you build. Our guide to ASA, GDPR and marketing consent goes further on consent wording. None of this is legal advice.

How does UK SMS work in GoHighLevel?

UK texting needs a UK-compliant sender, and texting British numbers from a US number is not the supported route. According to HighLevel’s help-centre article on international SMS compliance updates for the UK, UK carriers began blocking international long-code business traffic on 1 June 2023, and full enforcement across UK networks began on 30 July 2024. From 30 September 2024, all new and existing UK long codes must be connected to an approved regulatory compliance bundle.

The same article lists three UK sender options: a UK long code, which needs KYC information and an approved bundle and suits two-way local messaging; an alphanumeric sender ID, described as suitable for supported one-way branded messaging; and a short code for higher-volume use. It says SMS from a US number to a UK recipient is not supported in the documented flow and can fail with error 21612.

Two cautions. First, the article does not give registration steps for alphanumeric IDs or short codes, and we saw a user request on HighLevel’s ideas board asking for UK alphanumeric sender ID support, so confirm in your account what is actually available. Second, HighLevel’s pricing guide sends you to country-specific rate files for non-US messaging and says its SMS discount applies to US and Canada traffic only, so UK costs need checking before you promise anyone a text-heavy workflow.

Email authentication before the first campaign

Set up a dedicated sending domain with SPF, DKIM and DMARC before you send marketing at volume. HighLevel’s own guidance, as we summarise in our GoHighLevel spam fix guide, says that not having a dedicated sending domain often leads to spam placement, and Google and Yahoo expect authentication from bulk senders.

For a UK agency this usually means a subdomain of your own website, such as one used only for marketing mail, so that a bad week of sending does not touch the address your negotiators use for day-to-day vendor emails. For a different client, the NOW Team, we set up a dedicated sending domain with SPF, DKIM and DMARC because emails on GoHighLevel’s shared domain were landing in spam. See that case study for the facts we can share.

Where does the data sit?

We could not verify a UK storage location, so treat it as an open question. HighLevel’s privacy policy says it is a global company headquartered in the United States and may transfer personal information to affiliates, partners or providers in other countries, including India. It says that for EEA and UK data sent to a HighLevel entity outside those regions it relies on its Data Privacy Framework participation and, where needed, further safeguards. HighLevel LLC and LeadConnector LLC say they comply with the EU-US Data Privacy Framework, the UK Extension and the Swiss-US framework.

The policy also says that where HighLevel acts as a processor for your customers’ data, your privacy notice applies. It does not name a data processing agreement or a storage region, and says customers should contact HighLevel for DPA terms. Ask for those terms in writing, ask which sub-processors can access account data, and name the platform in your privacy notice. If a remote assistant will log in from outside the UK, that is a separate transfer question, covered in our post on offshore assistants and UK GDPR.

Who maintains it once it is built?

A flexible platform needs an owner, or it drifts back into a contact list. A common failure is an account built once and never audited. Workflows keep sending to people who have since opted out, tags multiply, and nobody can say which automation touched which contact.

A remote virtual assistant can take on the repeatable upkeep inside an account you control, with permissions you grant:

  • Building and testing workflows to a written brief, then logging changes.
  • Tagging and list hygiene, including removing opted-out contacts from every sequence.
  • Checking sending-domain records and reviewing email results weekly.
  • Logging enquiries and updating pipeline stages so reports are trustworthy.

The decisions stay with your named staff: lawful basis, what to say to a vendor whose sale is wobbling, and any message that reads as advice. If you have no one internally who will own the platform, that is a stronger reason to stay with agency software than any feature comparison. Our GoHighLevel setup guide gives the build order, with US examples, and our CRM automation service page describes the automation work.

A five-question test before you switch

  1. Which system will remain the record for properties, vendors and applicants?
  2. Can you show, for every marketing contact, when and how they consented and for which channel?
  3. Do you have a UK sender plan and a per-message cost for any text workflow?
  4. Is a dedicated sending domain authenticated and tested before the first campaign?
  5. Do you hold written data terms, and does a named person own the build?

If you cannot answer three of those, pause. When you can, a small pilot beats a migration: one lead source, one sequence, two weeks of monitoring.

If you would like a second opinion on an existing account or a planned pilot, our UK page explains what we can scope in a free consult, and the real estate virtual assistant overview sets out our services.

Frequently asked questions

It can be good as a follow-up and marketing layer, because you can build pipelines, email and text sequences yourself. It is a general-purpose platform, not UK agency software, and we found no documented Rightmove, Zoopla or OnTheMarket feed. Check portal handling and UK data terms before relying on it.

HighLevel's help centre says UK texting needs a UK sender, not a US number, and that UK long codes must be tied to an approved regulatory bundle. It lists UK long code, alphanumeric sender ID and short code as options. Check current support and per-country rates in HighLevel before you plan campaigns.

No platform makes you compliant by itself. HighLevel's privacy policy says it participates in the EU-US Data Privacy Framework and its UK Extension, but your own consent records, lawful basis and contracts still matter. Ask HighLevel for its data processing terms and take advice.

We found no documented native integration with Rightmove, Zoopla or OnTheMarket on HighLevel's public pages. UK portal listings normally run from agency software, so confirm with HighLevel how enquiries would reach the system before you switch.

Yes, for the repeatable work: building and testing workflows, tagging, list hygiene, sending-domain setup and weekly checks. Decisions on consent, lawful basis and what is said to vendors and applicants stay with your named staff.
